How to Export WooCommerce Subscriptions in One-Click?

How to export all subscriptions in WooCommerce?

  • Next, click on Smart Manager. It will load the ‘Products’ dashboard by default in an Excel-like spreadsheet.
  • Select Subscriptions dashboard from the drop-down. If you do not see any data, create at least one subscription product (if not already created) and then create a test subscription using the WooCommerce > Subscriptions page. Then Smart Manager will automatically detect and display all the subscriptions in the dashboard.
  • Click on the Export CSV button at the top.

That’s it. All your subscriptions data will be exported. You can export 70+ data fields related to subscriptions with Smart Manager.

How to export subscriptions based on filters?

You can apply advanced search and admin column filters and export only the required data.

Export data based on column filters

All you need is to use the ‘Columns’ functionality of Smart Manager.

For example, if you want to export data that contains only ID, date, status, line items and order total, simply show/hide columns in Smart Manager, apply search filters if required and then make an export. Here’s how to show/hide columns.

You can also arrange admin columns to decide which columns to appear first in the dashboard and also sort columns before making an export.

If you want to export all the same set of data frequently, i.e export only the required columns or filtered data every month, you can set up a custom view and save it.

So every time, you only have to choose the saved custom view from the drop down and click on export, without applying any column filters or search filters.

Let’s look at different types of export with Smart Manager based on search filters.

Export all active subscriptions

  • Make sure the ‘Status’ column is enabled. If not, enable it first. Here’s how.
  • Now click on the Advanced Search toggle.

  • Select Status from the dropdown, select is operator and choose Active.
  • Click on Search.
  • All your Active subscriptions data will be in front of you. Click on Export CSV.

That’s it.

Export all canceled/switched/pending cancellation/expired/on hold subscriptions

Same steps as above. Simply change the Status in the search conditions.

  • Make sure the Status Column is enabled. If not, enable it first.
  • Now click on the Advanced Search toggle.
  • Select Status from the dropdown, select is operator and choose the required status.
  • Click on Search.
  • All your required subscriptions data for the selected status will be in front of you. Click on the Export CSV button.

That’s it.

Note – For filtering based on multiple statuses, you can add condition groups and add status conditions in each group.

Export all active subscriptions for a day/week/month/year/any date range

  • Make sure the Status column is enabled. If not, enable it first.
  • Now click on the Advanced Search toggle.
  • Select Status from the dropdown, select is operator and choose Active.
  • Click on Add a condition.

  • Select Date from the dropdown, select the required operator and choose the date and time.
    For today, select == operator.
    For the week, month, year, select ‘greater than equal to’ and ‘less than equal to’ operators.
  • Click on Search.
  • All your Active subscriptions data for a specific period will be in front of you. Click on the Export CSV button.

That’s it.

Like active, you can export all your subscriptions data for canceled/switched/pending cancellation/expired/on hold subscriptions based on a date range.

Export subscriptions based on order total, email…

All you need is to apply search filters as mentioned above and you get exported data as required. Export data for:

  • Order total is above or below some amount or between some values.
  • All email ids that does not involve gmail.com.
  • Billing period is quarterly.
  • Next payment schedule is for Jun 2022.

…and hundreds of things based on your requirements.
